Below are the guidelines for how the SoCal League will conduct events in the event of challenging weather. Our primary considerations are the safety of riders, support staff and spectators, and potential damage to the venue and trails.

Insurance purchased via the CCN platform for any SoCal League event supersedes this policy. If you purchased event insurance via CCN the refund and transfer portion of the SoCal League Weather and Refund policy does not apply to you. The SoCal League is not responsible for claims decisions made by outside insurance providers. If you purchased event insurance via CCN please contact the provider in the event of any event cancellation.

Any decisions regarding canceling, postponing, or altering event start times, lap lengths, number of laps, etc. will be made solely by the SoCal League Executive Director. Often this decision cannot be made until the morning of the event due to the unpredictable and rapidly changing nature of severe weather.

The SoCal League will make every attempt to notify the racing population of updates as soon as possible via email, social media, and its website.

 

Weather Guidelines

  • Events are held on their scheduled dates unless the venue on the day of the event is deemed unrideable, unusable, and/or dangerous.

  • The SoCal League will have the option to alter the start of an event from its published times if the weather has created dangerous conditions.

  • Courses and/or lap lengths may be altered or shortened because of weather conditions.

    • Changes to venues will be announced as soon as they are known.

    • Last-minute changes will be broadcast to participants when gathering at the start of their event.

  • All events will stop immediately in the presence of lightning, as signified by the event director. Safety staff will direct participants to where they can seek shelter in vehicles, trailers/RVs or buildings when necessary.

  • Re-starting an event that has been stopped due to lightning or other emergency:

  • Depending on the schedule and number of laps completed, the event may be delayed or declared over.

  • If time permits, participants will be able to resume and instructions will be given for restart procedures.

 

Event Registration Fees

  •  If an event venue is moved or an event is rescheduled, event registration fees will automatically be applied to the moved or rescheduled race. If applicable. Some events happen only once annually and may not be rescheduled.

  • If an event is canceled due to weather conditions, at any point, fees will not be refunded.

Race Points

At certain events such as races, participants are awarded points.

  • If a race is canceled (unable to be moved or rescheduled):

    • No team points will be awarded and the race will not be included in the overall team series point standings.

    • No individual points will be awarded and the race will not be included in the overall individual series point standings. The 25 season bonus points will be awarded based on starting all races in the shortened series.

  • If a race is partially completed (some fields complete their race and others do not):

    •  No team points will be awarded and the race will not be included in the overall team series point standings.

    •  Individual points will be awarded in all of the fields that completed their race and those fields will proceed through the season as normal.

    •  No individual points will be awarded in the fields for which races were not completed and the race will not be included in the season overall individual point standings. The 25 season bonus points will be awarded based on starting all races in the shortened series

 

“Other Than Weather” Refund Policy

The SoCal League understands that money is valuable and that circumstances come up that can cause a change in plans. We want to work with you to put your money to good use wherever possible. We also forecast our events resource planning based on having a solid understanding of how many participants we are expecting. Based on these considerations we have adopted the following event fee refund guidelines for all requests not directly related to weather as noted in the above weather policy:

  • Season fees pertain to a host of activities outside of events and are generally not refundable once paid.

  • Event fees for any given event will be refunded as long as we receive an email. A variable service charge will apply based on the time of the request.

BEFORE the day of the event. If you prefer, we will transfer the event fees of a participant to a later event in the season with no service charge so long as we receive an email BEFORE the day of the event and so long as there is an equivalent event that season.

  • No event fee refunds or transfers will be given once an event has begun. For races specifically, if notice is given via email on Friday for a middle school racer we will honor the refund or transfer, if we receive your email on Saturday for a high school racer we will honor the refund or transfer.

  • Note that we usually cannot respond to emails while events are ongoing. So as long as the time and date stamp on your sent email meets the above guidelines we will honor it. It is highly unlikely we will respond with confirmation while an event is ongoing.

    Any requests for refund or transfer must be sent to Brandon@socalyouthcycling.org and must include the name of the participant, the team of the rider (if any), and the event name or date that the request is for.
